The agreement

“We” is Urban Waves SRL, a company registered in Belgium at Avenue Château de Walzin 4, 1180 Uccle, under enterprise and VAT number BE 0717.595.706. EarlyGrooves is a trading name of that company — which is why a receipt or an invoice from us carries the company’s name and not the product’s.

These terms apply when you use EarlyGrooves. Creating an account means you accept them. If you are agreeing on behalf of a label or a company, you are confirming you may bind it.

They sit alongside our privacy notice, which describes what we do with personal data and is part of the same agreement.

Your account

• One account is one handle and one catalog. Give us a working email address and keep it current — it is how we reach you about your account and your billing.
• Keep your password to yourself. Anything done through your account is treated as done by you, so tell us straight away if you think somebody else is in it.
• You must be at least 16, and old enough where you live to enter a contract.
• Your handle is the address of your public pages. We will not take one from you to give to somebody else, but we may reclaim a handle that impersonates a real person or organisation you have no connection to.

Plans, credits and payment

There is a free plan, a paid plan billed monthly or yearly, and credits, which unlock the paid features for one release without a subscription. Current prices are on the pricing section of the home page.

• Subscriptions renew until you cancel. Cancel any time; you keep the paid features until the end of the period you have paid for.
• A credit is bought outright and does not renew. It applies to one release you choose, and it stays applied to that release. It is not a period of time and it does not lapse.
• Ending a paid plan does not delete anything. Your releases, your subscribers and your statistics stay exactly where they are; the paid features become read-only until you subscribe again.
• Payments are taken by Stripe. Prices are quoted excluding VAT, and the VAT you pay depends on where you are: Belgian and other EU customers are charged at the applicable rate, an EU business with a VAT number that validates pays none under the reverse charge, and customers outside the EU are outside its scope. An invoice is issued for every payment.
• If a payment fails we will retry and tell you. If it keeps failing the plan lapses, which is the read-only state above rather than a deletion.

Refunds

If you are a consumer in the EU you have a statutory right to withdraw within 14 days of a purchase. Beyond that: if something we sold you does not work as described, write to support@earlygrooves.com and we will sort it out, refund included. A credit already spent on a release has been used and is not refundable on a change of mind.

Your releases and your artwork

Your work stays yours. Uploading artwork or writing a release’s copy gives us no ownership of it.

You do grant us the permission we need to actually run the service: to store your material, to show it on your public pages, to put it in the emails you send, and to render it in previews for search engines and social platforms. That permission lasts as long as you keep the material on EarlyGrooves and ends when you remove it.

You confirm you have the rights to everything you upload — the artwork, the music it points to, the artist names you use. If somebody tells us you do not, we may take the material down while it is sorted out.

Your mailing list

By sending through EarlyGrooves you confirm that:

• Every address on your list gave you permission. They asked to hear from you. Bought lists, scraped addresses and lists acquired with a business are not permission, and you may not upload them.
• You are responsible for your list under data protection law. You decide what happens to it; we run the machinery for you. That makes you the controller and us your processor, and the privacy notice sets out what we do in that role.
• An unsubscribe is final. Every message carries a one-click unsubscribe. You may not re-add somebody who used it, and you may not send in a way that circumvents it.
• You send what you said you would send. A list built for release announcements is not a list for somebody else’s promotion.

What we do in return, and what we reserve:

• An address that a receiving mail server tells us no longer exists is added to a do-not-send list and is not tried again. You will see it on your subscribers page, with the reason in the receiving server’s own words.
• We may pause or refuse a send that we believe would damage the reputation of our sending infrastructure — a very high bounce rate, a spike in spam complaints, or a list that looks bought. We will tell you why, and we would far rather help you fix it than stop you.

What you may not do with the service

• Break the law with it, or use it for material that is illegal where you or your audience are.
• Impersonate somebody else, or pass their work off as yours.
• Try to get at other accounts’ data, probe the service for weaknesses without asking us first, or work around a limit rather than asking for it to be raised.
• Resell the service as if it were your own.

The API

Accounts can create tokens for our read-only API, documented at /api. A token is a credential: it is yours to keep secret, anything done with it counts as done by you, and you can revoke one at any time from your settings.

Requests are rate-limited, with the limits published on that page. We may change the API, and we will not remove or break something in a published version without telling account holders first.

Availability and changes

We work to keep EarlyGrooves up and we do not promise a particular uptime. There will be maintenance, and occasionally there will be faults.

The product will keep changing. We may add features, and we may change or retire one — if a change materially reduces what a paid plan gives you, we will tell account holders by email before it takes effect.

Ending it

• You, at any time. Cancel a subscription from your settings, or delete your account entirely — which really deletes it, including your releases, your subscribers and the record of what was sent to whom.
• Us, if you break these terms seriously or repeatedly. Except where the breach makes it impossible, we will tell you what is wrong and give you a fair chance to put it right before we suspend or close anything.

If we close your account for a reason that is not your fault, we will refund the unused part of anything you have paid.

Liability

EarlyGrooves is provided as it is. We do not promise that a release will sell, an email will reach an inbox, or a figure will match another platform’s.

Where the law allows us to limit it, our total liability to you over any twelve months is what you paid us in those twelve months. We do not limit liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited — and if you are a consumer, nothing here takes away rights your own country’s law gives you.

Law

These terms are governed by Belgian law, and the courts of Belgium have jurisdiction. If you are a consumer, you keep the protection of the mandatory law of the country you live in, and you may bring a claim there.

If these change

The date at the top is when this was last revised. We will tell account holders by email before a material change takes effect, rather than editing the page and hoping. Carrying on using EarlyGrooves after that is how you accept it; if you would rather not, you can cancel or delete your account.
